Overview

Objective

The project aims to bridge the gap between Business Analysts (BAs) and Designers in our company, ensuring smoother collaboration and more effective solutions.

While FPT Management has requested that the design team teaches BAs how to use Figma for wireframing and prototyping, our approach will focus on addressing the root causes of collaboration challenges rather than simply providing tool training.

Key Points:

Initial Request:
FPT Management believes that teaching BAs how to use Figma will improve their design tool skills and benefit collaboration with designers.

Our Approach:
We will not be focusing on teaching wireframe or prototyping skills to BAs, as the core issue lies in the collaborative process, not the use of tools.

Why We’re Taking a Different Approach:

Designers Lead on Solutions:
Typically, the solutions proposed by BAs are not always the most optimal. Designers, based on the requirements provided by BAs, are responsible for crafting the most effective solutions.

Collaboration, Not Tool Mastery:
The focus should be on improving the communication and collaboration process, rather than giving BAs tools that might shift roles in a way that doesn’t benefit the team dynamic.

Research & Discovery Phase:

To fully understand the gaps in the collaboration between BAs and Designers, we will conduct the following activities:

Survey for Business Analysts (BAs):

A survey will be conducted targeting BAs to assess their understanding and experiences in the following areas:

  • Reasons for Creating Wireframes – Understanding why BAs engage in wireframing.

  • Ownership of Crafting Solutions – Identifying who should be responsible for defining solutions.

  • Collaboration with Designers – Evaluating their experience working with designers.

  • Wireframing Tool Experience – Exploring their familiarity and usage of wireframing tools.

The insights gathered from the survey will help bridge the gap between BAs and designers, ensuring a more effective collaboration.

Research Common Problems:

Identify the most frequent challenges faced by BAs and Designers in their collaboration, including miscommunication, role overlap, and differing expectations.

Data Analysis:

Analyse the data from the survey and research to identify key pain points and gaps in the workflow between BAs and Designers.

Solution Design:

Based on the insights gathered, we will develop a targeted plan to address the identified issues.

Possible solutions could include:

  • Workshops or short training sessions on improving collaboration and communication.

  • Step-by-step guides or GIFs demonstrating best practices for working together.

  • Recorded lessons focusing on role clarity and process improvement between teams.

Success Measurement:

To gauge the effectiveness of the implemented solutions, we will:

  • Create a feedback form to gather input from both BAs and Designers after the interventions.

  • Measure the success of these initiatives based on improvements in collaboration and satisfaction reported by both teams.
